Job Summary:
My client is seeking a dedicated and experienced Legal Secretary to join our Family Law team. The ideal candidate will have a strong background in family law, excellent organizational skills, and the ability to handle sensitive client matters with the utmost confidentiality and professionalism.
Key Responsibilities:
Administrative Support:
- Provide comprehensive administrative and secretarial support to solicitors and legal executives within the Family Law department.
- Manage diaries, schedule appointments, and organize meetings.
- Prepare and format legal documents, correspondence, and reports with precision and attention to detail.
- Handle court documents and ensure timely filing and compliance with court procedures.
Client Interaction:
- Act as a point of contact for clients, handling inquiries, and maintaining professional relationships.
- Manage client communications via phone, email, and in-person meetings with sensitivity and confidentiality.
- Assist in the preparation and coordination of client meetings and conferences.
Document Management:
- Maintain accurate and organized case files, both electronically and in hard copy.
- Manage document flow, including drafting, editing, and proofreading legal documents such as affidavits, pleadings, and contracts.
- Conduct legal research and prepare summaries as required.
Court and Legal Processes:
- Assist with the preparation of court bundles and documentation for hearings and trials.
- Coordinate with courts and other legal entities to arrange for court filings and service of documents.
- Track and monitor case deadlines, ensuring all court and filing deadlines are met.
Billing and Financial Tasks:
- Assist in the preparation of client billing and manage expense claims.
- Handle accounts, including maintaining records of disbursements and client payments.
General Office Duties:
- Manage office supplies and ensure the efficient running of the office.
- Support the wider team with ad-hoc tasks as required.
Experience:
- Minimum of 2-3 years of experience as a legal secretary, preferably within a family law practice.
- Experience with Irish legal procedures and court systems.
Skills:
- Proficiency in Microsoft Office Suite and Case management system.
- Excellent typing and transcription skills with a high level of accuracy.
- Strong organizational skills with the ability to prioritize and manage multiple tasks.
- Exceptional written and verbal communication skills.
- Ability to work independently and as part of a team.
- High level of discretion and confidentiality
