Our Client, an Educational Institution is looking to hire an Administrative Assistant on a temporary Full Time contract till the 30th of June .
Role Summary:
The Administrative Assistant is responsible for clearing a backlog of around 70 new supplier applications. This includes processing applications to keep supplier records up to date, monitoring spending for necessary actions, and coordinating with approved purchasers. The role also involves reviewing initial applications to ensure they meet required standards and clarifying procurement details as needed.
Role Requirements:
· At a minimum, passes in 5 subjects at Leaving Certificate level (or equivalent)
· Excellent written and verbal communication skills.
· A recognized post Leaving Certificate administrative/office technology qualification
· Satisfactory and relevant employment experience (within last 2/3 years) which demonstrates a high level of administrative support in a demanding office environment
· Demonstratable experience of use of MS Office products specifically MS Word etc
Main Responsibilities
1. Responsible for reviewing the initial application received to ensure it follows the required standards. and clarifying where needed the procurement information section on the new supplier setup application
2. Engaging with Approved Purchasers / Budget Holders on procurement related information as necessary
3. Once the application is approved notifying Finance and or Insurance and Requestor as to the next steps.
4. Keeping the Supplier Register up to date and monitoring spend to activate any necessary supplier parking actions
