Our Client, an Educational Institution is looking to hire an Administrative Assistant on a temporary Full Time for 3 months.
Role Summary:
The postholder is responsible for the overall coordination and project management of all elements of programme planning - online applications and registrations, planning of educational excursions, bookings with external providers (e.g. bus companies, tourist sites, catering), co-ordination of programme announcements, organisation of examination board meetings, management of overall programme logistics and timetables in addition to the general administrative responsibilities as required by these programmes
Role Responsibilities:
First point of contact for summer school students, providing information and guidance on course content and requirements, registration procedures and assessment schedules. The postholder will also act in a pastoral role providing advice on studying as well as the practical elements of living and studying in a new city.
Plan and manage the summer school teaching timetable, the education excursions and bookings (e.g. to Aran Island, Kylemore Abbey, Cliffs of Moher etc). Liaising with lecturers in relation to all aspects of programme teaching requirements, course planning & management, financial management and coordination of on-campus class-based examinations where necessary. Preparation of marks for exam board meeting in association with course lecturers.
The postholder will also be responsible for the line management of two student ambassadors who will support the summer school administrator with campus tours, accompany students and faculty on education excursions and attend summer school receptions
Skills Required:
Excellent administrative, planning and organisational skills.
Excellent interpersonal and communication skills – the postholder will be interacting on a daily basis with international students and will also be providing pastoral support where required.
An empathetic and sensitive approach to working with international students is required and an ability to guide them in relation to Irish culture and traditions as well as the practical aspects of living and studying at the institution in finding their way around Galway city
Capable of working unsupervised on own initiative and as part of a team
Knowledge of Canvas and CRM Recruit would be desirable
