Clerical Officer – Sligo Town
My client, a Sligo Town based, public sector body, seeks to hire an experienced administrator on a full time, temporary contract basis via CPL. Based on site, you will report to the department manager and will be responsible for providing administration support with a particular project.
within the Employee Assistance Programme in the North West.
RESPONSIBILITIES
· Be responsible for the overall administration of the service , in keeping with good professional practice and to assist in maintaining operational governance.
· Ensure the efficient day-to-day administration of area of responsibility
· Answer queries and provide a reception/ telephone service
· Provide broad office support.
· Manage Data - including maintaining, correcting, collating, interrogating, validating and processing data
· Maintain accurate up to date records, both computerised and paper copy filing systems and records
· Assist in and / or prepare reports as necessary
· Ensure deadlines are met and that service levels are maintained.
· Use appropriate technology to ensure work is completed to a high standard.
· Ensure that archives and records are accurate and readily available.
· Maintain confidentiality of documentation, records, etc.
· Ensure line management is kept informed of issues.
· Organise and attend local, regional and national meetings and teleconferences as required.
· Take minutes at meetings and prepare for circulation following meeting.
· Keep themselves appraised of the relevant documentation / procedures as relevant
· Identify potential problems / inconsistencies in a timely manner and consult with line manager as appropriate
· Actively participate in innovation and change management in the approach to best practice within the Department
· Represent the service in a positive manner
· Develop good working relationships with key stakeholder to provide a quality service
· Promote and maintain a customer focused environment including monitoring efficiency of service provided by the team and notifying co-ordinator of any deficiencies.
· Ensure that employees availing of the service are treated with dignity and respect.
· Maintain own knowledge of relevant HSE policies, procedures, guidelines and practices, to perform the role effectively and to ensure work standards are met.
· Maintain own knowledge of relevant regulations and legislation e.g. Financial Regulations, Health & Safety Legislation, Employment Legislation, FOI Acts etc.
· Ensure consistent adherence to procedures within area of responsibility.
· Have a working knowledge of the Health Information and Quality Authority (HIQA) Standards and other standards as they apply to the role for example, Standards for Healthcare, National Standards for the Prevention and Control of Healthcare Associated Infections, Hygiene Standards etc and comply with associated HSE protocols for implementing and maintaining these standards.
· Undertake other assignments as directed
· Support, promote and actively participate in sustainable energy, water and waste initiatives to create a more sustainable, low carbon and efficient health service
· Any other administrative support as requested
REQUIREMENTS
· Experience of interacting in a professional and sensitive manner with staff, service users, patients or clients.
· Experience of preparing spread sheets using Excel
· Broad general office experience including typing, email management, file management, dealing with telephone queries.
· Demonstrate the ability to plan and organise own workload in an effective and methodical manner within strict deadlines

· Demonstrate the ability to deal in a sensitive and confidential manner.
· Demonstrate the ability to work on own initiative as well as part of a team
