The Role:
The People Experience (HR) Coordinator is responsible for providing an efficient and effective HR administrative service to the business and providing support to the People Experience Team, adhering to processes and suggesting changes and improvements where they see opportunities. The People Experience Coordinator will be part of the People Experience Team and will work in partnership with their peer group to support the function in delivering a best-in-class people operations. The job holder will be responsible for the administration of core HR & Payroll responsibilities. The responsibilities for this role are outlined below:
Payroll, Administration & Reporting
• Responsible for the employee life cycle process from end to end for our people in Ireland and the United Kingdom i.e., Generating contracts of employment, onboarding, payroll processing, off-boarding, etc.
• Support on all administration associated with benefits such as bike to work, season ticket, healthcare, pension.
• Responsible for the statutory leaves (Maternity Leave, Paternity Leave, Parental Leave, Adoptive Leave, Emergency Leave, Carer’s Leave, sick leave,) for payroll processing
• Responsible for the following aspects of payroll administration and processing: e.g. Bike to work, Post Probation Referrals’, Eyecare vouchers, etc.
• Responsible for carrying out the contract amendment process from an administration and payroll perspective.
• Manage all UK people policies on workvivo across all entities to ensure that they are up to date and in line with group policy framework.
• Responsible for salary certification, employment references completion and other government documentation as required, adhering to SLAs in this regard.
• Working closely with IT Operations to create accurate and efficient reporting. Producing various reports for People Experience and Pillar management and always ensuring data integrity.
HRIS Management Information
• Maintain accurate People Experience Records on all People Experience systems (Mitrefinch, Salesforce, Azure, etc).
• Support the implementation and co-ordination of People Experience System upgrades and systems.
• Carry out regular audits on our People Experience Systems (HRMS, Docit, Workvivo etc.) to ensure accuracy of data and information.
• Providing reports to management.
Performance Management
• Responsible for the probation administration process, including extensions and terminations in full consultation with People Experience Representative
• Highlight performance concerns to People Experience representatives in a timely manner
• Support the People Experience Representative and business owner with PIP meetings
Employee Relations
• Advising line managers on basic queries relating to People Experience policies and procedures, always ensuring that best practice is maintained, and escalating to People Experience Representative as appropriate
• Ensuring that accurate notes and documentation of all issues are maintained.
• Supporting the Business Partnering team with grievance and disciplinary meetings when required.
Relationships
• Build effective relationships with Directors/Managers ensuring they adhere to all people and HR practices effectively.
• Build and manage own personal brand with key stakeholders.
People Experience Projects & Ad hoc Requests
• Working across the People Experience team on annual people programmes that complement skills and capabilities.
• Assist in any People Experience Operational related projects such as System Implementations & Upgrades.
• Carrying out requests as needed from the People Experience Management team.
Experience/Skills
• 1 + year of HR or Administration experience.
• HR Qualification desirable, but not necessary.
• Demonstrate excellent administration, communication & strong attention to detail.
• Ability to multi-task and yet maintain standard/quality on all tasks.
• Experience working with, and demonstrating a strong working knowledge of Microsoft Office Suite .
• Team player with the ability to also work on their own initiative.
• Excellent interpersonal skills, with the ability to establish credibility with Managers/ Directors and employees.
